Situation


Red Deer County needed easier access to historical and active files as the ECM system stayed limited to a repository for historical documents, with no connection to the business processes in place to keep the county running effectively. Many documents and records remained on shared and personal drives.  With multiple repositories in use, it increased user confusion, hampered user adoption and eliminated any chance at collaboration.  IT wanted a content management system that can grow with the municipality as it modernizes services.

Solution


Red Deer County worked with Cadence Solutions, to implement the integrated Content Suite system. As an organizational initiative, an ECM strategy benefits from establishing policies and procedures and working with providers that are trained and competent.  Cadence performed all requirements gathering, data migration, retention schedule configuration, testing and training for the implementation. The first phase was dedicated to Physical Records with the second phase focusing on Electronic documents and records with TempoBox.    A third phase encompassing OpenText Email Management is a current project at Red Deer County.
