District of Sechelt Records Management Revamp

Client Overview

The District of Sechelt, located in the heart of the Sunshine Coast, is a growing community that embraces smart and sustainable development. With a population of over 10,000, Sechelt is nestled between the Salish Sea and Sechelt Inlet, located about 30km north of the ferry terminal that connects the Sunshine Coast to the Lower Mainland of Vancouver.

The Challenge

 

The District of Sechelt’s content management system had gone stale and was causing headaches for both its governance team and other users. With a license that was set to expire, they were at a fork in the road and needed to make a quick decision. Further, the client required a solution for a single records management repository that would provide improved user control and be in adherence with the LGMA retention schedule.

The Solution

 

The District of Sechelt pivoted to leverage its existing Microsoft 365 E3 software licenses, choosing to migrate from Highland OnBase to SharePoint Online. Cadence Solutions was charged with the migration and ensuring every record landed in the right spot with no data lost. In addition, Cadence introduced AvePoint Opus to ensure the client’s records management needs would be met.

  1. Data Migration - Highland OnBase to SharePoint Online

  2. Records Management Solution - AvePoint Opus

The People Component

 

Cadence Solutions provided a demonstration of AvePoint Opus, showcasing how this tool could be used along with the new SharePoint Online setup to address records management challenges and overcome user’s frustrations. The demonstration featured a single centralized site structured according to the LGMA retention schedule.

Cadence Solutions also ran training and change management sessions for both users and records managers with a focus on ensuring everyone felt confident with the new SharePoint based system.

The Impact

Implementing new records management technologies in the District of Sechelt allowed for users to have a smoother, more self-serviced approach to municipal records. The data migration and modernization project, which maintained adherence to LGMA standards, was a win for everyone involved, setting the client up for records management success for many years to come.
